Quick answer

For a downtown Chicago event, confirm the supplier entrance, loading window, parking arrangements, elevator access, required vendor documents, and a reachable venue contact. Send these instructions to the booth provider before event day. Rules vary by building; this is a planning checklist, not a claim about a particular venue.

Get the delivery address as well as the event address

A hotel ballroom, office tower, or event space may route suppliers through a different entrance from guests. Ask for the exact loading instructions and who will meet the arriving team. A street address does not explain how equipment reaches the room.

If the venue requires advance vehicle details, check-in, or a reserved delivery window, collect that information early. Do not assume curb space can be used for unloading or that a guest parking arrangement applies to a supplier vehicle.

Check the entire route into the room

Ask about stairs, narrow turns, doorway clearances, and freight-elevator availability. The booth provider should compare the route with the actual packed equipment, not only the final operating dimensions.

An elevator shared with catering, furniture, and other production vendors may need scheduling. Include both arrival and departure in the plan. A smooth setup does not guarantee an easy breakdown if access changes later in the evening.

Resolve venue paperwork before arrival

Some venues request insurance documentation or other supplier information. Ask the venue for its current requirements and send them to the rental company for confirmation. Do not promise a particular insurance limit or additional-insured arrangement on the provider’s behalf.

Keep the current approved version of the floor plan with those instructions. If the venue relocates the booth, the new position still needs an approved electrical connection, a usable guest route, and room for the queue.

Use a short logistics handoff

Have the planner or host send one consistent handoff to the venue and booth team. If restrictions make the original plan impractical, resolve the setup or timing before signing off. Do not make a driver or attendant negotiate a new production plan at the loading entrance.

  • Event room and supplier entrance with delivery instructions.
  • Approved arrival and removal windows.
  • Elevator or dock booking and access contact.
  • Parking and unloading arrangements confirmed by the venue.
  • Required documents and their submission deadline.
  • Final booth location, power source, and day-of phone contacts.

Put this into your event plan

Confirm equipment, package inclusions, and venue requirements for your date. Planning guidance is not a promise that every option is included in every rental.
