Quick answer

Before booking, confirm the exact booth, active hours, staffing, print or digital delivery, artwork, venue requirements, total charges, cancellation terms, and equipment-failure plan. Ask for the answers in the written agreement rather than relying on a sales conversation.

What exactly are we renting?

Ask for the equipment format and the package inclusions. Photos on a website can show several setups, so confirm which one is being proposed for your date. Check whether the backdrop, props, attendant, and custom artwork are included or optional.

If a feature matters, describe the outcome you want. Copies for every person in a group is more precise than lots of prints. A downloadable gallery after the event is clearer than digital sharing.

Which hours count toward the rental?

Separate arrival, setup, active use, idle time, and breakdown. Ask whether an early venue setup or a pause during dinner changes the price. Confirm the overtime process and who can authorize an extension.

Put the venue’s hard exit time into the discussion. A booth that closes when all suppliers must already be out of the building creates an avoidable conflict. The schedule should leave room for safe equipment removal.

What could change the total?

Ask for the complete quoted total and the conditions that can change it. Compare matching scopes rather than treating a starting price as the final bill. Never infer a deposit or refund policy from another company’s package.

  • Delivery, travel, parking, and access-related charges.
  • Extra active hours or an early setup with idle time.
  • Custom artwork, backdrops, props, or added outputs.
  • Taxes and any payment-processing charges.
  • Changes to the venue, date, or original scope.

What happens when something changes?

Read cancellation, rescheduling, and payment terms before paying. Ask what happens if equipment fails, a print system stops, or the venue cannot provide the agreed setup conditions. The provider should explain the response and any contractual remedy without promising that failure is impossible.

Name a day-of contact for both sides. Keep the final agreement, approved artwork, and venue instructions together so a coordinator can find them without calling the couple or event host during the party.

Put this into your event plan

Confirm equipment, package inclusions, and venue requirements for your date. Planning guidance is not a promise that every option is included in every rental.
