Quick answer

Choose prints when physical keepsakes or a photo guestbook matter. Choose digital delivery when convenient file access is the priority. If you want both, confirm both in the package and ask how files are delivered, whether connectivity is required, and how long access lasts.

When physical prints do the most work

A print gives guests a finished keepsake before they leave. It can also become part of a wedding guestbook or a small event memento. Ask which print size is available and how many copies a group receives.

Clarify the meaning of unlimited. It may refer to sessions during the rental period rather than one copy for every person in a large group. If an album needs a second copy, include that requirement in the proposal.

When digital delivery is the better fit

Digital files can be useful for guests who prefer a phone-ready image or for organizers who want a gallery after the event. Ask about the actual delivery method rather than assuming every booth supports text messages, email, QR downloads, and live galleries.

Find out whether the selected workflow needs an internet connection and what happens if venue connectivity is poor. If delivery is delayed until after the event, that should be explained to guests before they enter contact information or wait for a message.

Compare the full experience, not a label

A digital package and a print package may differ in staffing, hardware, artwork, and operating hours as well as delivery. Put those details side by side before deciding that one is better value.

For a mixed-age guest list, consider whether the delivery instructions are easy to follow without a specific app or account. A choice of outputs can help, but only if the provider supports that choice and the guest instructions remain simple.

Ask what happens after the event

Save the agreed answers with the booking documents. Download important files while access is available rather than treating a temporary gallery as permanent storage. For company events, confirm planned image use with the responsible organizer; receiving a file does not settle every permission question.

  • Who receives the gallery or download link?
  • How long will files remain available?
  • Are downloads full-size, watermarked, or otherwise restricted?
  • Can guests opt out of public sharing?
  • What is the fallback if a print or digital delivery fails?

Put this into your event plan

Confirm equipment, package inclusions, and venue requirements for your date. Planning guidance is not a promise that every option is included in every rental.
